Dear Fred,

As current president of the SMMHOA, I’m taking this opportunity to state upfront how valuable you are to our HOA and particularly to our Board of Directors. Thanks for your continued exceptional service and commitment to us.

I’m writing because I/we desperately need your professionally qualified assistance in assessing our current water system and preparing a mandatory RCAC Capital Improvement Plan; including a 5 year projected cost of replacement (see attached). I will need the HOA community to approve on 7/31/21 a dues increase based on your projected plan cost. Your plan is essential for our treasurer (currently, Anne Hatt) and bookkeeper (currently, Cassie Weidmann), in order to establish a 10yr budget specifically for RCAC Capital Improvement Planning and Budgeting to be presented to the HOA Community at the Annual Mtg on July 3, 2021.


At the January 2021 SMMHOA Board Mtg, the Water System Capital Improvement Plan Task Force was initiated:

b) After researching the BYLAWS, it appears the Board of Directors may approve to recommend to the membership (the HOA community) annual dues and terms for payment: "Annual dues and other necessary assessments, and terms for payment shall be established by the membership." see page 3, Section 6. Dues and Assessments

Our January and April 2021 meeting minutes reflect our compliance with the BYLAWS. I intend to note this "recommendation" in the Annual NEWSLETTER and on the website in advance (June 1st?) of our scheduled July 31,2021 Annual Meeting. I understand this initial 2021 Annual Dues increase is primarily directed toward payment for the huge cost ($10,000?) of Cassini Water trucked to our lower tank during 2020 waterline breaks.

Thank you for your kind support and assistance. Of course, we understand that you will be compensated at an appropriate rate for your time and expertise in preparing the Water System Capital Improvement Plan and Projected Cost. Please contact me as soon as possible regarding that rate, so I may present it to the Board before July 31,2021.
